As we continue to expand, we’re seeking a highly organized, proactive, and sales-minded professional to manage incoming opportunities, refine our sales process, and elevate the client journey from first contact through project completion.

Position Overview

This role is the heart of our client experience. As our Client Experience Coordinator, you’ll be the friendly and knowledgeable front line for all incoming inquiries — answering calls, responding to texts and emails, communicating our scheduling queue, and expertly routing questions so every customer and prospective client receives timely, helpful answers.

While the primary focus is delivering exceptional front-line support, you’ll also contribute to the bigger picture by assisting with marketing initiatives, social media engagement, and permitting processes. This is a dynamic, high-visibility position where your daily interactions directly shape how clients perceive our company from the very first contact.

This isn’t a behind-the-scenes role — you’ll play a key part in building trust, creating memorable first impressions, and helping turn inquiries into successful backyard transformations in a fast-paced, people-focused environment.

The ideal candidate genuinely loves connecting with people, is warm, authentic, and empathetic. You understand the excitement (and occasional stress) that comes with a major home enhancement project — something clients have often been dreaming about and planning for years.

Key Responsibilities

Front Line Communication

  • Warmly and professionally answer incoming calls, texts, emails, and inquiries across all channels.
  • Provide clear, helpful responses and ensure every client feels heard and valued.
  • Communicate scheduling availability and guide prospects smoothly through the initial steps.

Inquiry Management & Routing

  • Respond promptly to all leads and route specialized questions to the appropriate team member (sales, design, production, etc.).
  • Maintain accurate records in Jobber (our CRM) and keep the team aligned on incoming opportunities.
  • Proactively follow up to ensure nothing falls through the cracks.

Client Journey Support

  • Help prospects understand our process, gather initial project details, and build excitement about working with us.
  • Assist with scheduling consultations and maintain an organized view of the queue.
  • Support seamless handoffs between sales, design, and production teams.

Secondary Responsibilities

  • Contribute to marketing efforts, including social media content and engagement.
  • Help with other client-facing or operational tasks as needed to support company growth.

Client Experience & Reviews

  • Follow up post-project to confirm satisfaction and resolve any issues promptly.
  • Encourage and facilitate testimonials and positive Google reviews.

What We’re Looking For

  • Highly organized with exceptional attention to detail.
  • Outstanding communication skills – clear, friendly, and professional across phone, text, email, and in-person.
  • Thrives in a fast-paced environment, managing multiple priorities with a positive attitude.
  • Proactive, solution-oriented mindset with strong follow-up habits and a sense of urgency.
  • Experience with CRM systems (not required, but is a strong plus).
  • Background in customer service, client support, sales support, or hospitality is a strong plus.
  • Passionate about people – someone who builds rapport easily and finds joy in helping others.

Compensation & Growth

  • Competitive base salary of $48,000 – $55,000, commensurate with experience.
  • Performance bonuses tied to client satisfaction, lead conversion support, and operational excellence.
  • Top performers in this role can realistically earn $60,000+ annually when bonuses are maximized.
  • 10 days Paid Time Off per year (accruing after 90 days).

Paid Time Off (PTO)

We offer 10 paid days off per year (accruing after a 90-day introductory period), which can be used for vacation, personal time, or illness.

Note: This position does not currently include other benefits such as health insurance or 401(k) contributions.

Work Arrangement

This role will begin with in-office training at our location near Downtown Delaware to ensure you are fully trained on our systems, processes, client communication standards, and tools. Once training is complete and you are fully comfortable (typically after 1–2 months), the position will transition to primarily work-from-home.

During the busy season (spring through fall), you will work occasionally from the office for a few hours each morning to support peak demand and team coordination. Outside of busy season, the role is fully remote. Occasional local visits to client homes or our office in the Central Ohio area may be required for training refreshers, team meetings, or to support specific client needs. There is zero out-of-Central-Ohio travel for this position.

One of the great things about this role is its seasonal rhythm: it’s very busy during the warm months (spring through fall), when you’ll help support our peak project season. The workload balances out beautifully in the colder months (December through mid-March), with lighter hours and greater flexibility — perfect for someone who values work-life harmony alongside meaningful, high-impact work.
